Upcoming Changes for Web Time Entry in UAOnline

The new web time entry process will take effect for the R11 pay period, beginning on May 3, 2026. Here is a sneak peek at what will be changing. More information will be shared in the coming weeks.

What Is Changing?

  • The web timesheet will have a new look and layout.
  • Employees will be able to enter hours more easily using mobile devices.
  • Employees will not be able to view their current labor distribution directly on their timesheet as they do with the current timesheet. The project team is exploring options to make this information visible to employees.
  • Employees will no longer allocate their labor directly on the timesheet. The project team is developing and testing a new interface that will allow employees to designate their labor distribution on a per-pay-period basis, replacing the current timesheet functionality.

What Remains the Same?

  • Hourly employees will continue to enter the hours they worked.
  • Salary employees will continue to only enter their leave hours.
  • Timesheet submission and approval deadlines will remain the same.
  • Earnings codes will remain the same.
  • Approvers can still set up proxies for time sheet approval. If you already have a proxy designated, they will remain in place after the transition.
  • Employees will continue to access their timesheets through UAOnline.
  • HR Coordinators will still be able to use PHR2TDN to review timesheets.
  • Grant Managers and Fiscal Officers will still be able to use PHR2TSF to review funding claimed by employees.
  • Departments will still have the following options to update and correct labor distributions:
    • Departments can use the Labor Distribution EPAF to change the default labor on the employee's job
    • Labor Redistributions can occur after the payroll process to allocate hours worked to the correct funding.
