Track your full offer process with Multiple Offer Stages

You can now add multiple offer-type stages to your interview plans, giving your team more flexibility in how you want to manage your offer process. Available today for Plus and Enterprise customers.

If you operate in a high-volume hiring context or have specific requirements around your offer process, there are often additional considerations before a candidate is "Hired" that you need to track.

Background checks, physicals, verbal offers, reference checks, and pre-hire training are some common examples.

Multiple Offer Stages gives you a purpose-built place for this work, so your offer process and recruiting metrics reflect how your team operates.

Enabling additional offer stages

For Plus and Enterprise customers, you'll see an Offer Stage Configuration admin setting that has two new controls.

Advance on Offer Accepted controls whether candidates automatically move to the next stage when they accept an offer.

It's enabled by default and matches existing behavior. This is really nice because once you've added multiple offer stages you still can have your candidates automatically advance once the offer is accepted, but they move to an offer stage of your choice (instead of hired) ensuring your reporting is clean.

Turn it off to hold candidates in the built-in offer stage after acceptance until you're ready to advance them manually.

Allow Additional Offer Stages is the new setting for creating custom offer stages.

When enabled, you can create custom offer-type stages within any interview plan - stages like Background Check, Reference Check, Physicals, or Pre-Hire Training.

Turning on Additional Offer Stages also lets you dertermine how the hire date is set and when an opening is considered filled:

  • Mark Opening as Filled When: offer accepted or moved to Hired
  • Hired Date When: offer accepted or moved to Hired. If you select Offer Accepted, the date retroactively populates in reports once the candidate reaches the Hired stage.

Note: If you have an HRIS integration set up you can also control when they are pushed based on offer acceptance or moved to hire.

Moving candidate in your process

Once these settings are enabled you can head to any interview to define your custom offer stages.

These stages can be placed before or after the built-in offer stage in any order that reflects your process. The built-in offer stage remains the only stage where you can create and send offer letters.

Now, when setting up your interview plans you'll see the new offer stages and the ability to add activities as you would normally expect.

When moving candidates through your pipeline these stages will appear and attach to your offer process.

Define what "hired" means for your organization

Whether you're running background checks in high-volume hiring, verifying credentials in compliance-heavy industries, or coordinating reference checks before extending a formal offer, these steps are a core part of how your team hires. Mutiple Offer Stages lets you model that process directly in Ashby, so your pipeline data and time-to-hire metrics reflect what's happening during your offer processes.
