DCMA launches new Termination Assistance Request app

FORT LEE, Va. -

The Defense Contract Management Agency has released a new application designed to improve the efficiency and accuracy of requesting support for termination settlements.

The Termination Assistance Request application, or TAR, automates previously manual tasks, streamlining key steps such as termination for convenience, known as T4C, package submissions, routing, rejection, assignment and status tracking. The result is reduced manual effort, faster response times, and enhanced service for both internal and external customers.

"This application is a game changer for how we handle T4C requests," said Daniel Wayne, Terminations Group contracts director. "It moves us from a reactive, often fragmented process, to a proactive streamlined system."

The T4C process was hampered by inefficiencies, including incomplete packages, duplicative submissions, processing delays and a reliance on a centralized email inbox for all termination-related communications. The new TAR application directly addresses these challenges by providing a user-friendly interface that guides customers through the process.

The application requires customers to initiate support requests by completing a comprehensive form with specific termination details and uploading necessary documents.

To ensure efficient processing, the application includes built-in validation. If the form or supporting documents are incomplete, the TAR administrator rejects the request and an email is sent to the requester outlining the missing items while providing a direct link to update the form. Customers with incomplete packages will need to restart the process once all required information is gathered.

"The built-in validation and clear instructions ensure we receive complete and accurate information from the start," said Ruth Stojakovich, contract specialist. "This significantly reduces the back-and-forth communication and speeds up the entire process. We have received positive feedback from our customers as we piloted the application."

By managing all processes - including requests, vetting, rejection and status tracking - directly within the application, the TAR system enables efficient report generation and trend analysis, said Johanna Akinfenwa, the Contract Lifecycle Management Center contracts director.

"This provides valuable insights to support strategic decision-making and improve operational efficiency," Akinfenwa said. "The enhanced tracking capabilities are laying the foundation for predictive analytics and a more responsive approach to workforce management. We can now identify trends and patterns in termination requests, positioning us to anticipate future needs and proactively improve our processes for years to come."

Akinfenwa said the terminations group is committed to continually improving the TAR application to provide the best possible support to customers.

"These future enhancements will further streamline the process and provide even greater efficiency," she said. "The TAR application demonstrates the power of automation to not only expedite processes but also to provide data-driven insights."
