Dealership Partners,
Many of you have signed up and are using the department's features for dealer transaction billing, allowing you to "charge the account" for fee discrepancies instead of mailing transactions back. As we continue to explore new features, it's crucial to reaffirm statutory requirements and outline our procedures for managing bills and balances.
According to Title 23 VSA 459, dealers have 15 to 30 calendar days to submit applications, fees, and required documentation for vehicle sales and plate issuance. Our dealer unit processes these transactions, allowing us to communicate, correct, and itemize overages and insufficient amounts.
IMPORTANT NOTICE
Effective immediately, dealers must not carry unpaid balances longer than 30 days once billed. If payment is not received within 30 days, a notification will be sent. Failure to pay within 10 days will result in the immediate suspension of the dealer's license, and the department will collect the remaining amount from the bond on file. During the processing of properly submitted applications, we will collect the appropriate fees and taxes and may issue bills for uncollected fees or apply refunds if applicable. Dealers choosing to pay via credit card will incur any associated transaction fees, while the ACH option is currently available at no charge.
Timely submission of applications is essential to ensure consumer registrations are processed promptly.
